Client Service Specialist

Position Overview:

The CSR is focused on providing excellent customer service to internal and external customers in a professional manner.  The CSR supports the Account Executive during the initial sales phase and throughout the project, preparing quotes, assisting with proposals, product registrations and any administrative tasks related to the sales effort.  The CSR serves as a direct point of contact for customers to provide quotes, order status and general customer service.

The CSR is responsible for Project Coordination through gathering all project entry requirements for submission, resolving any entry or procurement obstacles, regular equipment status reporting to identify and address potential risks, managing all returns, initiating advance replacement processing and acting as the liaison between corporate personnel and the local project team.

The CSR must be self-motivated and highly organized, have strong interpersonal skills, an excellent work ethic and the ability to multitask while working as part of a team.

  • Handles a large amount of incoming calls or service requests from PTG clients; troubleshoots to determine whether a technician is needed or not
  • Escalates service requests to Strategic Sourcing Buyer when a technician is needed
  • Sets up internal job tracking and documentation
  • Verifies existing products on site
  • Verifies warranty of existing products
  • Creates quote of necessary labor and/or parts for service request
  • Obtains approval from client for service needed based on quote created
  • Ensures all necessary equipment is shipped to the site/technician
  • Verifies technician is on site for specific scheduled date and time

  • Ensure all necessary paperwork has been received and fully completed
  • Verifies Purchase Order matches the received invoice
  • Ensures all necessary documentation is located in the Work Ticket documentation folder and is clearly labeled
  • Tasks accounting to bill client

  • Keeps internal and external ticketing systems up to date

Distribution Specialist

Position Overview:

Plan, prepare and coordinate the distribution of products to the customer in an efficient and effective manner.  This position ensures the correct products are picked, wrapped and shipped to the correct location on time.

  • Receive and accurately place product according to the inventory shelving system
  • Prepare paperwork for shipments for small package, LTL, truckload shipments for domestic or international shipping
  • Coordinate the transportation of the finished products to the customers
  • Coordinate customer orders, delivery time-lines, freight costs, third-party shipments and all associated delivery documents
  • Schedule pickup times and ensure that the warehouse has the order picked and packed before the carrier arrives to collect it
  • Prepare delivery documents for the driver transporting the order
  • Track shipments to ensure a timely arrival at its destination
  • Order processing; pull inventory from shelves and load pallets
  • Use the Internet and electronic inventory data collection devices on a daily basis
  • Interact with internal customers and suppliers
  • 2-3 years of experience in a logistics/warehouse or product fulfillment setting
